Your membership organization (Chamber of Commerce) has invested in membership services so they can strategically help their members grow business. This is why we handle your setup, product and service documentation, mobile application, text prospecting, and search engine support.

Here is how to Activate your Member Rep Assignment and Management System

First Step is to submit a support ticket or use CHAT to tell us that you would like the MEMBER REP system activated for your organization.

Second Step is to go into your MMS configuration area and select CRM Configuration. Under General click the Grant CRM Access to Member Reps.

Third Step is to open each member record that is going to become a Member Rep and make them a Member Rep.

Fourth Step is to have the Member Rep log in to the system and click on new link they will see in their members area called CRM MEMBER REP. Now they can record their member connections within the Member Tracker system.

Now you will have a full accounting of all member touches and are able to monitor and be sure that your Member Reps are indeed communicating with members. As always let us know if you need our assistance.

Booth Choice and Registration
The booth editor within event registration allows you to set up an interactive map for your conference, tradeshow, or other event.  Registrants can select booths, upload their logo/picture, and see what others booths have been taken and by whom.When creating a booth map, you can create booths of different shapes, sizes and colors and drag them onto the appropriate spot on the grid.  

You are also able to add a background image, such as the floorplan of the conference hall and overlay your booth grid.


Broadcast Messaging
The Broadcast Email Message feature allows an Admin to send a simple email to the entire member database, or to a selected few members.

The Admin is presented with a menu to "send new message" or to "re-send/add recipients" to a message already sent.
In addition to the Broadcast Message system, the MMS is setup to send out a variety of other emails (event invitations, survey emails, etc.).  For all these tools to work it is essential to have an accurate and up-to-date email list. To make this easier, we provide a Bounced Email report.

Calendar
The Calendar of Events feature is one of the most frequently used features in the MMS.  It falls under the category of a Content Management Tool as it allows an organization to keep a calendar updated on their website.  It also fits into the category of a Member Communication Tool because it is integrated with an event invitation system. The Attendance module allows an organization to track member attendance at various events.​

The format of the calendar is very flexible and customizable, allowing for multiple list-type formats and a flexible grid (calendar style) format.  If you have special needs for your calendar, feel free to contact us.
  • Members are able to easily add their own events to the regional calendar system.
  • The Chamber becomes the host of a powerful community-wide calendar and multi-organization event publishing system.

Newsletter Editor
The MMS offers a newsletter editor that allows an organization to edit and publish an electronic newsletter.  The newsletter is then stored on your site, and emailed out to your members if you so desire.

The newsletter editor allows you to select a 'template' to set up the common attributes for the publication such as the header image, masthead, colors and more.
Once a template is created, you can add a newsletter (issue) and add/edit articles within the newsletter.  As months go by, you can copy a prior month's newsletter to make it easier to create a new issue.

Track Member
The Chamber Nation system makes it very easy to stay in touch with your members and track all your conversations with that member. The MMS allows you to setup a reminder to contact a member in the future. Learn More

Project and Committee Management
The Projects/Committees module is a great way to create sub-groups within your membership.  Members and admins can be a part of any Project/Committee that you set up.  These Project/Committee groups have access to their own file archive, message board, and broadcast email system.Projects/Committees can be set up for a number of different occasions.  Leave a Project/Committee unrestricted to start a volunteer campaign, or start a specific group for your board or action committee.

Later, when sending event invitations or broadcast messages, you'll be able to send to any Projects/Committees you've set up.  You can even use Project/Committee groups when running reports.

Drip Marketing
Our Drip Marketing System is the best way to keep your members engaged with your organization.  Drip Marketing campaigns are basically a set of emails on a timeline.  When an event occurs for a member (such as signing up or renewing) the member will automatically start their Drip Marketing Campaign. It also works for other triggers like when a prospect is interested in learning about membership.

CRM/Member Prospecting
The CRM System is used to track your contact (interaction) with members and prospects.  With this tool, you can record your emails, visits, and phone calls with your members and prospects.  You can also report on these contacts.
It is also helpful for recording historical data (membership plan history, committees previously served on, etc.).

Board Member Reporting

Social Media Multipost Feature
In several locations in the MMS, you will see links labeled 'multipost' or 'mpost'.  This is a link to the Multipost feature.  Multipost allows to you create a single post, and then post it to multiple social networks in one step.  Multipost currently allows posting to the following social networks: Facebook, Twitter, and the MMS' internal member social network.   We are working on adding other social networks to this list.

Banner Ad Manager
The Banner Ad Manager module has been tiered into separate ad-levels for your convenience. These include Platinum Ads, Gold Ads, Silver Ads, Broadcast Message Sponsor, and Scrolling Banners. ​

Category Specific Ads
There is an additional option in “Category Specific,  Top of member directory search results”. After placing the ad you will be given the option to associate the ad with a category search. For example a Doctor can have advertising at the top of the medical category, and a restaurant can have an ad at the top of the dining category.

Donation Automation
If your organization takes donations, whether they are monetary or material, you can manage both with the Donations and Wish List Module.

Election Management LEARN MORE
The Elections feature allows an admin-level user to create an election with a variety of different questions, and send out emails to the membership to prompt members to complete the election.  The election is also posted within the member's area, so those who are granted access can login and complete the election there.

NOTE: the election system is designed to allow only one vote per person.  The emails sent to members will provide a link that will require them to login to complete the election.


Legislative Action Center

Once enabled, you will need to edit/maintain a list of legislators.  This is done from within Member Database Admin, house members and senate members are two special record types that you will see in the view drop-down.

To set up an legislative item, log-in, then look for Legislative Action in the right column under admin functions.​Enter the name of the Action Item (the issue at hand), begin and end dates, the details about the requests (why people should contact their legislator) then the suggested subject and message text,  house/senate/both, multiple selection (whether you want people to be able to send to multiple legislators),  limited members (if it’s just a few legislators that need to be lobbied, select them).

​When you’re done entering the action item, click on Submit.  It will show up in the list, along with a url you can use to promote the action item.  You can post this url on your website or sent out in an email to your contacts.


As people respond, the system will track who has contacted which legislator.
 
Resource Reservations
The resource reservations modules can be used to allow members to reserve a resource that the association has.  This could be a conference room, a party room, an LCD projector, or anything that you allow members to use for a limited time.

Texting Reminders (optional)
The broadcast text message module allows an association to send out text messages to a group of members.

After the message is sent, there is a 'status page' available for that message.  It will show the progress of the message (which ones have been sent, or which ones had difficulty).  Also, If the recipients choose to reply to your text, their replies will show up on the status page.

Member ​Prospector
Member Prospector has been created specifically for the Chamber of Commerce industry to help them educate prospective members on the value of membership. Once prospects are informed about the value of membership, then they move from "lead status" to a "qualified prospect". Once the prospect has received the electronic educational pieces,  then it's easy to track them as a prospect until you are ready to press the "convert to member" button. 

Chamber Store 
The online store feature allows you to manage a catalog of items and sponsorships, and allows members and/or the public to purchase them.  If you have a credit card merchant account or paypal account integrated with your MMS account, it will automatically be configured with the store.

​To start using the store, the first thing you will have to do is enter items into your catalog to make them available for sale.

No matter how dedicated and well-versed the newcomer is, there is still institutional knowledge that the newcomer needs to become a productive member of the organization.The question I’m often asked is how to share that knowledge, and when to share it? Here are a few thoughts on how I work with this important step in positioning an organization as valuable to newcomers.

I've Joined the Chamber. What's Next?

Please note: The following is an example script that was covered in the www.ChamberCollaborative.com so please feel free to copy and paste into your word processor and make adjustments to fit your own Chamber of Commerce. 

We appreciate your membership with the ____________________ Chamber of Commerce. We want you to know there are several ways you can optimize your return on membership by following this list.

The First Month:

  • Visit www.MembershipServicesDepartment.com and see how easy it is to request marketing support.
  • Visit the chamber website to understand the member services and learn about the community.
  • While at the website be sure to click on the login button (use the lost password function to access the members area if you do not know/remember your password). Once logged in, press the “REQUEST SETUP” button to order your Chamber Lobby services. There are many valuable services included with your membership.
  • Attend a Chamber-hosted event (be sure to provide the Chamber with your mobile number so that you can receive text updates on the information that is important to you.
  • Locate the Chamber’s facebook page and be sure to "follow” to get social updates.
  • Show your customers that you are a trusted Chamber member by adding the Chamber logo to your business website. Just ask us and we will be happy to provide the fle.
The Second Month is time to commit to:
  • Visiting www.MembershipOrientations.com and sign up for the next online member orientation.
  • Post your business event(s) on the Chamber Online Calendar. We can provide a calendar system for your own website. This way you can add events to your own site while at the same time being automatically posted to the community-wide calendar for expanded promotion.
  • Consider joining a project or committee at the Chamber.
  • Attend a Chamber-hosted event.
  • Expand your marketing by talking to the Chamber about advertising opportunities.
  • Stop by the Chamber lobby and drop off your physical business materials for hand out.
Within the First Three Months commit to:
  • Review your digital Chamber Lobby presentation and work with your Chamber Assistant to add, edit, and show you how your catalog, text prospecting, and mobile app works.
  • Review your physical materials that are placed in the Chamber lobby and share what you do with the Chamber staff. This way when they get referral requests it is easier to explain.  
  • Check your membership Directory listing (update as needed) or contact your Chamber Assistant for help..
  • Look for potential business connections in the online Membership Directory and use the proposal request system.
  • Contact the Chamber to be sure you are using your membership to its fullest extent.
  • Attend networking opportunities.
Within the First Four Months commit to:
  • Share your Chamber experience with a non-member business that would benefit from membership while helping to grow our community.
  • Asking questions about your membership.
  • Attend a Chamber-hosted event.
  • Look for additional engagement opportunities (marketing opportunities and possibly being a guest speaker).
Within Six Months commit to:
  • Review your Membership Return on Investment (ROI). Are you meeting the goals you set for joining? If not, call your Chamber.
  • Contact your Chamber Assistant to expand your marketing platform at no added cost. Simply go to www.MembershipServicesDepartment.com.
  • Check for opportunities to do a member e-blast, etc.
  • Submit your member testimonial to the Chamber as they are very much appreciated.
